Can your quarter records hold up?

Seven questions about the records a quarter actually depends on. You get ready, needs review, or missing essentials, plus the specific gaps to close. No tax is computed here, and nothing is filed.

Estimates from numbers you type. Not tax advice. Not a filing. Not a tax-due figure.

Essential record

Is the quarter and its exact date range identified?

Every mile and gallon you report has to belong to one identified reporting period.

Essential record

Do you have beginning and ending odometer or source mileage?

Beginning and ending readings are what let total distance be reconstructed later.

Essential record

Is distance broken out by jurisdiction?

Totals alone are not enough — distance has to be attributable state by state and province by province.

Essential record

Are tax-paid gallons broken out by jurisdiction?

Fuel purchased and taxed in a jurisdiction has to be traceable to that jurisdiction.

Do the fuel receipts show date, seller or location, fuel type, gallons, and amount?

Where applicable, those details are what make a gallon claimable rather than merely written down.

Have unassigned miles or unassigned fuel been reviewed?

Personal moves, yard moves, and orphaned purchases should be resolved on purpose, not left floating.

Essential record

Are the source records retained where you can produce them again?

The totals are only as good as the documents still standing behind them.

The math, in the open

No hidden assumptions.

Every number above comes out of these lines. If you disagree with an assumption, change the input. The tool will not quietly override you.

What this estimate is not

  • Not a tax calculation and not an estimate of what you owe.
  • Not a filing, a submission, or acceptance by any agency.
  • Not tax, legal, accounting, or filing advice.
  • Not a substitute for your base jurisdiction's own instructions.
  • Your records remain your responsibility.

Where the real numbers come from

  • Confirmed rate confirmations, which carry what a load actually paid.
  • Confirmed fuel receipts, which carry gallons, price, and location.
  • Records you can search, correct, and produce again later.
  • See how records get captured

Questions about this tool.

Does this calculate what I owe?
No, and it never will. This is a records checklist. IFTA liability depends on official quarterly rates and your actual distance and tax-paid gallons by jurisdiction. That math happens in the official portal, not on a seven-question form.
What counts as an essential record?
The identified period, beginning and ending odometer or trip-source mileage, distance by jurisdiction, tax-paid gallons by jurisdiction, and retained source documents. Without those five, the totals have nothing standing behind them.
What should a fuel receipt show?
Where applicable: the date, the seller or location, the fuel type, the gallons, and the amount. Those details are what let a gallon be attributed to a jurisdiction and a period.
What do I do about unassigned miles or fuel?
Review them and decide where each one belongs, on purpose. Personal moves, yard moves, and orphaned purchases left floating are exactly the items that turn a review into a problem.
Is this a filing?
No. Nothing here is submitted anywhere, and nothing here is accepted by any agency. Today, you file in your own base jurisdiction's system. CarrierAgent's Indiana managed service is planned but not active and would require your specific authorization if later enabled.
