Keep the office and the truck on the same load.

Add the rate con once, choose who is taking it, and see the paperwork come back without asking twice. One load, seen from the office and from the cab, with company data and an owner-operator's private books kept apart.

The trip appears in Trips with the details the work needs. A company driver does not see the rate or the office’s copy of the booking.

The driver gets the operational details. The office keeps the booking and the rate. An independent operator may receive the rate con when it is deliberately shared for their work.

3. Work the stops: Keep the stops and their paperwork with the load.

4. Add the POD: Add it here. The office can see the page with the load.

If the upload fails, the trip stays selected and the app explains how to retry. It never shows “Received” before the save succeeds.

The office knows the page arrived and does not ask for it again. POD received is recorded as its own fact; it is not a delivery time and it is not payment.

Your part is done. The office prepares the packet and the payment paperwork.

A load update and a complete paperwork set are different things. A corrected POD becomes “Updated paperwork” with the earlier version kept; private fuel receipts stay out of the shared packet.

Your part is done. The office prepares the packet and the payment paperwork.

A complete packet means fewer pages to hunt for before invoicing or factoring preparation. Factoring paperwork with less re-entry is a planned integration: OTR Solutions is our first integration target, subject to access and approval, and no connection is live yet. CarrierAgent has not sent an invoice or collected money in this example.

  1. Set up the company once.

    Confirm the company facts, add the trucks you run and the people who drive them. A driver joins through a real invitation; nobody invites or approves themselves.
    What it gives you
    One list of trucks and people, reused everywhere the company works, instead of a spreadsheet and a group chat.
    Worth knowing
    Setting up the company does not hand anyone the books. Who owns a truck, who can move money and who holds a login stay separate decisions.

  5. Get the packet back.

  6. Build the company view from the same work.

    Booking totals you can stand behind, with coverage shown where shared activity or private costs are missing.
    Worth knowing
    Booking gross is named booking gross. It is never relabelled as anyone's profit, and an owner-operator's own costs stay theirs.
  7. Get the company's quarter ready.

    Bring fuel and mileage records together for the right trucks and period, and review what needs attention.
    What it gives you
    Miles by state and tax-paid gallons by state for the company that reports them, ready for review before filing.
    Worth knowing
    The company that holds the IFTA license is responsible for the return. It files in its own portal, or, in Indiana when the planned service opens, an authorized representative files for it once your authorization and account access are in place. A driver or dispatcher never files on their own.

When the plan changes.

Reassignments, missing pages and corrections are Tuesday. The app is built to keep one load and one history through all of them.

The assignment changes.

The load shows “Assignment changed” with the current truck and person. The old driver stops receiving new work on it, the new driver sees it, and the trip keeps its history. If the change cannot be confirmed yet, the app shows “Checking the assignment” with a retry, never a second Assign that could duplicate the load.

The POD is missing.

The packet says “POD missing” and stays that way until the page arrives. The load is not started over and nobody is asked for the same page twice.

A page was wrong.

The driver adds the corrected page. The office sees “Updated paperwork” with the earlier version kept, not a second delivery and not a duplicate completion.

Boundaries the app keeps for you.

  • An owner-operator hauling for you keeps their own books. You see the trip packet they deliberately share, never their fuel receipts, money or unrelated trips.
  • A company driver sees the work, not the rate or the office's copy of the booking.
  • Who owns a truck, who can move money and who holds a login stay separate from who dispatches. A dispatcher can run the day without seeing the money.
  • Nothing in the app is a government filing or an agency acceptance. Preparing a return is not filing it.

Straight answers.

Is there a minimum fleet size?
No. The same load flow serves one truck or six. Company analytics are planned for the fleet that has more than one.
Do you need my DOT number, truck count or a meeting to join the pilot?
No. Joining the pilot list is an email address. Tick “Loads and paperwork” if you want us to write about the office side first.
Can my dispatcher use it without seeing the money?
That is the plan: dispatch, trips, paperwork and quarter preparation for the office, with truck ownership, money and logins kept separate.
Who files the company's IFTA return?
The company that holds the license is responsible for it. It files in its own state's portal, or authorizes a representative to file for it, which is what the planned Indiana service would be. Drivers and dispatchers upload their own records; they never file.
Is it a load board?
No. CarrierAgent does not find freight and does not broker anything. It runs the loads you already booked.
What does it cost?
Pricing is not published. No checkout or payment is live.
